What to include on a UK invoice
A UK invoice should include a unique invoice number, your business name and address, the customer's name and address, a clear description of what you're charging for, the date, and the amount due. Sole traders must show their own name (and can add a trading name too); limited companies should show the full registered company name.
If you're VAT registered, add your VAT number and set the VAT rate — the tax line and gross total are calculated for you. If you're not registered, leave the tax rate empty.
Twenty delegates, three courses, one invoice
Hargreaves Safety Training is a VAT-registered limited company in Halifax, billing a food manufacturer in Oldham for a week of accredited courses run at the client's own factory. None of it is priced by the day: the two accredited courses are charged per delegate, the awarding body's registration and certificate fees are recharged per delegate on their own line, and the short fire marshal refresher is a flat fee for the whole group. Delegate numbers were confirmed off the register the Friday before, so every quantity here is simply a head count, and VAT at the standard 20% is added once to the subtotal after any discount.

Recharging the awarding body's certificate fees as their own per-delegate line, rather than burying them in the course price, means a late addition to the register changes one quantity instead of a rate.
What HMRC expects on a UK invoice
Your legal name
Sole traders must show their own name with any trading name beside it, while a limited company needs the full registered name exactly as it appears at Companies House, typed into the sender address block.
Company number and registered office
Limited companies should add the company number and registered office address on the lines under the business name, since the form has no separate field for either.
One unbroken number sequence
Give every invoice a unique number in a single running sequence such as TS-2026-041, and never reuse one, even for a job that was later cancelled.
VAT only if registered
Leave the tax rate empty unless you're VAT registered; if you are, set VAT to the rate that applies to the supply and put your VAT number in the address block.
Bank details and terms
Sort code, account number and your payment terms belong in the notes field — "30 days from invoice date, by bank transfer" is the standard wording for UK B2B work.

Frequently asked questions
Do I need to add VAT to my invoice?
Only if you're VAT registered. If you are, set the VAT rate that applies to your supply and include your VAT number on the invoice. If you're not registered, don't charge VAT at all.
What payment details should I include?
Add your sort code and account number (or a payment link) in the notes field, along with your payment terms — for example 'Payment within 14 days by bank transfer'.
Do sole traders need a company number on invoices?
No — sole traders have no company number. Show your own name (a trading name is optional alongside it). Limited companies should show their registered company name, and including the company number is good practice.
How long do I need to keep my invoices?
Keep copies of the invoices you issue and receive. Sole traders should keep records for at least 5 years after the 31 January self-assessment deadline for the relevant tax year; VAT-registered businesses keep VAT records for 6 years.
