The name you're paid under
Most freelancers invoice under their own name or a trading name, so put whichever one matches your bank account and tax records in the sender address block — accounts teams reject invoices whose payee name doesn't match.
A number you can reconcile
Use one running sequence like INV-0031, INV-0032 across all clients so nothing quietly goes unpaid and your year's income adds up at tax time.
Price the deliverable, not the hour
If you quoted a flat rate per piece, put that rate in the unit price and the number delivered in the quantity — six articles at one agreed rate is a single line, not six. The quantity field also takes decimals, so 3.5 goes in as typed on the jobs you do bill by time.
Terms and a real due date
Set the due date 14 or 30 days out and repeat the terms in the notes ('Net 14, 2% monthly late fee') so chasing a late payment is backed by something in writing.
Your tax reference, if asked
There's no dedicated field for an EIN, SSN or UTR, so add it in the notes when a client needs it for a 1099 or their own bookkeeping.
