GST, HST and your invoice

Canadian sales tax depends on your province: GST at 5% federally, HST between 13% and 15% in participating provinces, and separate provincial taxes (PST/QST) elsewhere. Set the label and rate that apply to you — the default here is HST at 13% — and the tax is calculated on the subtotal after any discount.

If you're registered for GST/HST, include your registration number on the invoice — under your business name or in the notes. If you're under the small-supplier threshold and not registered, don't charge GST/HST.

There is no separate travel or mileage box, so the kilometres go in as an ordinary line item — which also means HST applies to them, exactly as it should when the whole job is supplied in Ontario.

Getting GST/HST right on a Canadian invoice

  • Your GST/HST number

    Registrants must show the nine-digit business number with its RT0001 program suffix — add it on a line under your business name in the address block.

  • The rate for the place of supply

    Set the tax line to the province where the customer takes delivery: 13% HST in Ontario, 15% in New Brunswick, Newfoundland and Labrador and PEI, 14% in Nova Scotia, and 5% GST in Alberta and the territories.

  • Provinces with two taxes

    There is only one tax line here, so in BC, Saskatchewan, Manitoba or Quebec set it to the combined rate, label it "GST + PST" (or GST + QST), and spell out the split in the notes.

  • Selling across the border

    If you're billing a US customer, switch the currency to USD and check whether the sale is zero-rated as an export before you charge any HST on it.

  • Remittance details and terms

    EFT or cheque instructions, Net 30 terms and any interest on overdue accounts go in the notes field.

Frequently asked questions

Which tax rate should I use for my province?

Use the GST or HST rate that applies where the supply is made — 5% GST in non-HST provinces, or the 13–15% HST rate of the participating province. If your province charges PST or QST separately, you can note it in the notes field.

Where does my GST/HST number go?

Put it under your business name in the address block or in the notes. Registered businesses are expected to show it on invoices where tax is charged.

Do I charge GST/HST to clients outside Canada?

Exports are generally zero-rated, so most invoices to foreign clients carry no GST/HST — but confirm your situation with an accountant and set the rate accordingly.

Do I have to charge tax as a small supplier?

Generally no. If your worldwide taxable revenues stay under $30,000 over four consecutive calendar quarters, you're a small supplier and don't have to register for or charge GST/HST — clear the tax rate and issue a plain invoice. Once you cross the threshold you must register.
