Invoicing for contract work

Separate labor and materials into their own line items so the client can see exactly what they're paying for — hours × rate for labor, quantity × unit price for materials. If you charge sales tax on some or all of the work, set the rate and it's applied to the invoice total after any discount.

Use the notes section for the job reference, payment instructions, and any warranty or terms language you normally include.

Rebuilding a homeowner's rear deck

A small residential contractor billing a homeowner for a rear-deck rebuild. Labor is billed by the hour — a crew rate for the two-man demolition day, a single-carpenter rate for the build — while materials are passed through at unit price for the quantity actually installed. The dumpster is a flat pass-through. Sales tax is set at the local combined rate; check whether your state taxes labor, materials or both before applying it.

Hours and material quantities are itemized separately, so a homeowner querying the price can see whether it's labor or lumber driving the number.

Keep labor, materials, and the tax rate straight

  • License number and job site

Neither has its own field, so put your contractor license number on a line under your business name in the address block and the job-site address in the notes — several states require the license number on every invoice you issue.

  • Labor and materials kept apart

Bill labor as hours × crew or trade rate and materials as quantity × unit price on their own lines; decimals are fine, so 26.5 hours goes in as typed.

  • One sales tax rate, applied once

This tool puts a single tax percentage on the subtotal after any discount, so if your state taxes materials but not labor, put the taxable items on their own invoice rather than trying to split the rate.

  • Change orders called out as such

Anything added after the original bid belongs on its own line labelled as a change order, so the client can see precisely why the invoice differs from the contract price.

  • Deposit, retainage and warranty

State the deposit already received, any retainage being held and your workmanship warranty in the notes, and bill progress payments as separately numbered invoices instead of one running balance.

Frequently asked questions

How should I split labor and materials?

Give each its own line item: 'Labor — 16 hrs' with your hourly rate, then each material with its quantity and unit price. The client sees a clear breakdown and the totals add up automatically.

How do I invoice deposits or progress payments?

Create a separate invoice for each stage — deposit, milestones, final balance — each with its own invoice number. That keeps your paper trail clean for both sides.

Do I charge tax on materials?

It varies by jurisdiction — some tax the whole job, some only materials, some neither. This tool applies one tax rate to the whole invoice, so if only part of the job is taxable, put the taxable and non-taxable items on separate invoices. Check with an accountant if you're unsure.

Should I reference a purchase order or job number?

Yes, when the client uses one. Add their PO or job number in the notes field so your invoice matches their approval and gets paid faster.
