Shop hours, site call-outs and steel by the foot
Mobile welding bills two ways at once — bench time in the shop and hours on somebody else's site — and the two rarely carry the same rate, so give them separate lines. Hours go in the quantity column and decimals are supported, so 3.75 hours at your site rate is a single line that reads honestly. The call-out itself is a line of its own: quantity 1, a flat price, and a description that says exactly what it covers — truck, rig, travel and the first hour on site — so the hours beside it don't look like double-billing. If you charge mileage instead, put the miles in the quantity column with your per-mile rate next to them.
Material is where welding invoices go vague, and vague costs you money. Bill steel the way you bought it and cut it — "A36 flat bar 3/8 in. x 6 in., per foot", "2 x 2 x 1/4 angle, per foot", "Sch 40 pipe 2 in., per foot" — with the footage in the quantity column, and give the width or the wall thickness alongside the size, because "plate, per foot" is not a figure anyone can check against a supplier. Consumables — rod, wire, shielding gas, cutting and grinding discs — either sit inside your hourly rate or go on one line at the end, but pick one and say which in the description, because charging both is the fastest way to lose a repeat account.
The notes field is where a welding invoice earns trust. There's no dedicated box for your certification, so put your AWS or CWB certificate number, the WPS or procedure the joint was welded to, the weld map or joint numbers, and any material test reports there. The same field carries the customer's PO and job number — there's no PO field either — along with your payment terms. The tax line is preset to Sales Tax: type your rate and it is worked out once, on the subtotal after any discount, and if a job isn't taxable you can leave the rate box empty, which prints no tax line at all. Whether welding is taxable turns on your state and on the job in front of you, so check with an accountant. Your draft autosaves in this browser and nothing is uploaded — the PDF is built on your device, in the truck, before you pull off site.
A night call-out to a cracked conveyor frame
A crushing plant calls at nine in the evening with a split weld on a conveyor frame and a shift that starts at six. The call-out is a flat line covering the truck, the rig and the first hour on site, and the hours run from the moment that first hour ends, at the after-hours field rate rather than the bench rate. Flat bar and angle are cut to length on the tailgate and billed by the foot at the exact size and grade used, and the rod, discs and gas burned on the repair go on one consumables line at the end rather than hiding inside the labor rate.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| After-hours call-out — truck, rig and first hour on site | 1 | $225.00 | $225.00 |
| On-site welding and fit-up, after hours — hours beyond the call-out | 4.5 | $135.00 | $607.50 |
| A36 flat bar 3/8 in. x 6 in. — cut and beveled, per foot | 12 | $18.40 | $220.80 |
| 2 x 2 x 1/4 angle for gusset plates — per foot | 16 | $6.75 | $108.00 |
| Consumables — 7018 rod, grinding discs, shielding gas | 1 | $84.00 | $84.00 |
| Subtotal | $1,245.30 | ||
| Sales Tax 8.25% | $102.74 | ||
| Total due | $1,348.04 | ||
The call-out sits on its own line and says what it includes, so the hourly line beside it can never be read as charging twice for the same first hour. Odessa's 8.25% applies here because Texas taxes repairs to non-residential real property.
Before you drive off site
Two labor rates, two lines
Shop bench time and field time rarely price the same, so never blend them — separate lines with the hours in the quantity column, decimals and all.
Steel described by size and grade
"A36 flat bar 3/8 in. x 6 in., per foot" is a number a customer can check against a supplier price; "plate" or "materials" is a number they have to trust.
The call-out spelled out
Say in the description what the call-out buys — truck, rig, travel, first hour — or the hours billed next to it will look like the same time charged twice.
Consumables billed once
Rod, wire, gas and discs either live in your hourly rate or on their own line at the end; state which in the description so nobody thinks you did both.
Certification and procedure in notes
There's no field for your AWS or CWB certificate number, the WPS, the weld map or the customer's PO, so all of it goes in the notes with your payment terms.

Frequently asked questions
How do I charge different rates for shop work and on-site welding?
Give each its own line — bench fabrication at your shop rate, site work at your field rate — with the hours in the quantity column, which accepts decimals like 3.75. The line totals and the invoice total are calculated for you.
Where do I put my welding certification or the WPS?
There's no field for either, so put your AWS or CWB certificate number and the welding procedure the joint was welded to in the notes, along with the weld map or joint numbers. If a single line was welded to a specific procedure, you can also name it in that line's description.
How do I bill for the call-out and the drive to site?
Put the call-out on its own line at quantity 1 with a flat price, and write into the description what it covers — truck, rig, travel and the first hour on site. If you bill travel by distance instead, use a second line with the miles in the quantity column and your per-mile rate beside them.
Is welding labor subject to sales tax?
It depends on your state and on what you welded. Texas, for instance, taxes labor to repair non-residential real property — a plant conveyor, a gate at a yard — while the same repair on a house is treated differently, and other states separate fabricating a new part from repairing an existing one. One rate applies to the whole subtotal, so invoice a mixed job in two parts if only half of it is taxable, and leave the rate box empty when you aren't collecting tax at all — nothing is printed then. Check with an accountant.
