Invoicing an auto repair job
Parts and labor belong on separate lines. List each part with its name or part number in the description, the quantity, and your price; labor gets its own line with hours in the quantity column and your shop rate as the rate — 2.5 hours of diag time at your posted rate calculates itself. If you charge a shop supplies or hazardous waste disposal fee, give that its own clearly named line too — customers question a padded labor charge far more than an itemized fee.
Identify the vehicle on the invoice: year, make, model, VIN, and odometer reading fit on a line under the customer's name in the address block, or in the notes field. Notes are also where the paper trail lives — the authorization reference tying the invoice back to the approved estimate ("work authorized per estimate #1042"), and your warranty terms for parts and labor, such as 12 months or 12,000 miles.
The presets are USD with a Sales Tax label — enter your combined state and local rate and it's calculated on the subtotal, after any discount.
