Quantity times rate, one line at a time
An itemized invoice is built one line at a time, and each line holds three things: a description, a quantity and a unit price. The tool multiplies the two numbers, stacks the line totals into a subtotal and carries that down to the grand total, so the arithmetic is never yours to redo. Quantities take decimals — 3.25 hours, 0.5 of a day, 1.75 tons — which means you never have to round a figure to make a line work. The rule that keeps the whole thing readable is one rate per line: if two things were charged at different prices, they are two lines, not one.
Resist the urge to pre-multiply. Entering 22 brake pads at 11.25 apiece as a single pre-multiplied figure hides the two numbers a client actually wants to check, and the moment they want to check them you get an email instead of a payment. Itemizing is what turns an invoice from a demand into a document someone can approve: accounts payable ticks each line against the quote or the purchase order, sees the counts match, and releases it. A bill that says "services rendered" with one figure beside it goes to the bottom of the pile until somebody has time to ask what it covers.
Two things itemizing cannot do here. There is no per-line tax — one tax label and rate apply to the whole subtotal after the single discount — so a job mixing taxable parts with exempt labor needs a note explaining the split, or two invoices, and a word with your accountant. And there is no separate column for part numbers, SKUs, ticket references or PO numbers: put codes at the front of each description where they print exactly as typed, and put the PO or job reference in the notes field.
Nothing on this invoice is pre-multiplied
Fourteen delivery e-bikes came through the shop in one week on a fleet agreement that fixes a per-bike price for the scheduled service, so that line is a count of bikes at the agreed rate rather than a lump sum. Fitting routine parts is already inside that service, which is why the parts lines carry the part price alone with the shop's number in front. Everything outside the standard service is priced the way it was quoted: the two bikes that needed a bottom bracket at the hourly labor rate to the quarter hour, and the failed battery packs at a flat charge each for testing and disposal.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Scheduled fleet service — per bike, 45 min standard (bikes B-01 to B-14) | 14 | $68.00 | $952.00 |
| Part 4412-11 — chain, 11-speed (fitted during scheduled service) | 9 | $36.00 | $324.00 |
| Part 8823-4 — organic brake pad set, per wheel | 22 | $11.25 | $247.50 |
| Additional labor — bottom bracket replacement, bikes B-04 and B-11 (hours) | 3.25 | $95.00 | $308.75 |
| Battery pack test and certified disposal — per failed pack | 2 | $40.00 | $80.00 |
| Subtotal | $1,912.25 | ||
| Total due | $1,912.25 | ||
Because the count and the rate stay in separate columns, the fleet manager can check nine chains against nine job cards without reverse-engineering a single total.
Lines that survive accounts payable
One rate per line
Two prices never belong on one line — standard and after-hours labor, or two grades of the same material, each get their own row so a reader can see which quantity carried which rate.
The count goes in the quantity column
Type 22 and 11.25 into their own columns rather than collapsing them into one pre-multiplied figure, because the multiplication is the part the client wants to see done in front of them.
Codes at the front of the description
There is no SKU or part-number column, so lead the description with the code — "Part 8823-4 — organic brake pad set" — and it prints exactly as typed.
Order the lines like the quote
List items in the same order as the estimate or purchase order so an approver can run down both documents together instead of hunting for matches.
One tax rate, one discount
Both apply to the whole subtotal, so a job mixing taxable goods with exempt labor needs the split explained in the notes — or two separate invoices — and rules vary, so check with an accountant.

Frequently asked questions
How detailed should an itemized invoice be?
Detailed enough that every line matches something the client already agreed to — a quoted item, a rate on the contract, a part they approved. Genuinely trivial consumables can share one "materials, per attached list" line, as long as the list goes with the invoice.
Can I charge a different tax rate on different lines?
No — there is one tax label and one rate, applied to the whole subtotal after any discount. The cleanest fix for a job that is part taxable and part not is two invoices; the alternative is the effective rate the mixed job works out to, with the split spelled out in the notes. Treatment varies by state and trade, so confirm it with an accountant.
Where do part numbers and PO references go?
Part numbers, SKUs and ticket numbers go at the front of each line's description, which prints on the PDF exactly as you type it. The purchase order or job number belongs in the notes field, where the client's accounts team looks for it.
Do decimal quantities work?
Yes — 3.25, 0.1 and 12.5 all go straight into the quantity column. Put the count there and the agreed price beside it rather than multiplying the two yourself, so the client can see the rate they signed off on.
