Printing an invoice and keeping the paper copy
Fill in the fields, download the PDF, then print it from whatever opens the file — your browser's built-in PDF viewer, Preview, Acrobat. There is no print button inside the tool itself; the PDF is the printable thing, and Ctrl+P (Cmd+P on a Mac) does the rest. The page is laid out at A4, so if your printer is loaded with US Letter, tick "fit to page" or "shrink oversized pages" in the print dialog and nothing at the edges gets clipped.
Print two copies while you have the file open: one to hand over or post, one for your own file. There is no signature field, so if you want the customer to sign for the work or the delivery, add a line like "Received by ______ / Date ______" at the end of the notes — it prints under the totals with room to write. Payment terms, a job or work order reference and any license or permit number go in the notes too, since the form has no dedicated boxes for them.
If you would rather write the invoice out by hand at the door, leave the line items empty, download the PDF and print several blank copies to keep in the truck. You lose the automatic arithmetic that way, so the totals are yours to add up, but the header, the address blocks and the column layout are already there. Either way, keep your numbers running in order — a drawer of printed invoices filed by number is a perfectly good ledger, and the draft autosaves in the browser so the next one starts from the last.
One delivery, two printed copies
A firewood run is priced entirely off the truck: hardwood by the face cord at the posted rate, birch a little dearer because it gets picked over for looks and lights easily, kindling by the bundle, a flat charge for the run itself because the address sits inside the 20-mile line, and stacking at a set price per face cord because the woodshed had to be filled by hand. Everything is typed in before the truck leaves the yard, so what gets handed over at the door already carries the totals.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Seasoned red oak, split — per face cord (16 in) | 3 | $145.00 | $435.00 |
| Seasoned white birch, split — per face cord (16 in) | 1 | $165.00 | $165.00 |
| Kindling — kiln-dried bundle | 6 | $8.00 | $48.00 |
| Delivery and tailgate dump — within 20 miles | 1 | $45.00 | $45.00 |
| Stacking in the woodshed — per face cord stacked | 4 | $30.00 | $120.00 |
| Subtotal | $813.00 | ||
| Total due | $813.00 | ||
Nothing on this invoice is written in by hand except the signature line at the bottom, which is the whole reason it was printed twice.
Before you hit print
Two copies, one pass
Set the copy count to 2 in the print dialog rather than printing, handing it over, then hunting for the file again — one goes to the customer, one goes in the drawer.
A4 artwork on a Letter tray
The PDF is A4, so tick "fit to page" or "shrink oversized pages" once in the print dialog and your printer stops cropping the bottom of the totals block.
Room to sign
Finish the notes with "Received by ______ / Date ______", because the form has no signature field and a printed invoice is usually the thing someone signs.
Numbers you can file by
Run plain sequential numbers — 4127, then 4128 — so a stack of printed invoices sorts itself and matches the duplicate book you may still be carrying. Downloading moves the number on for you, so the next one is already waiting.
Blanks for the glovebox
Print a few copies with the line items left empty for the jobs you write up at the door, and remember the totals on those are yours to add up by hand.

Frequently asked questions
Can I print the invoice straight from the browser?
Almost — download the PDF first, then press Ctrl+P (Cmd+P) in whatever opens it, including your browser's own PDF viewer. There is no print button inside the generator, because the PDF is what actually prints cleanly.
The PDF is A4 — will it print on US Letter paper?
Yes. Choose "fit to page" or "shrink oversized pages" in the print dialog and the whole invoice lands inside Letter's margins. A4 is the taller, narrower sheet, so the scaling costs a few percent and leaves slightly wider white margins down each side — nothing shifts and nothing is cut off.
Can I print a blank invoice and fill it in by hand?
Leave the line items empty, download the PDF and print as many blank copies as you need. The layout and your business details print, but the totals are calculated from what you type on screen, so a hand-filled copy means doing the maths yourself.
How do I get the customer's signature on it?
There is no signature field, so end your notes with a line such as "Received by ______ / Date ______" and it prints under the totals with space to sign. Keep the signed copy and give the customer the other one.
