Invoicing plumbing jobs

Break the bill into the lines a customer expects to see: the service call or diagnostic fee, labor, and parts, each as its own line item. For hourly work, put the hours in the quantity column — decimals like 1.5 are supported — and your hourly rate in the rate column; for a flat-rate job, one line at quantity 1 with the agreed price is all you need. Give each part its own line with quantity and unit price, so nobody has to ask what the shut-off valve cost versus the labor to fit it.

Many states require your plumbing license number to appear on invoices. There's no dedicated field for it — type it on a line under your business name in the address block, e.g. 'Master Plumber Lic. #M-38412'. The notes field is where the rest of the job paperwork goes: the job address if it differs from the billing address, your warranty terms on labor and parts, and how you want to be paid.

The tax line is preset to Sales Tax — whether it applies to plumbing labor, parts, or both depends on your state, so set the rate your accountant confirms or leave it empty. And if you run several calls a day, the autosave earns its keep: your business details, logo, and tax rate stay in your browser between jobs, so you only swap the customer, the line items, and the invoice number before downloading the next PDF.

The Saturday night water heater call

A Saturday-night call for a failed water heater, billed the way most service plumbers bill it. The after-hours call-out is a flat charge for getting the truck there, the time on site goes in the quantity column as a decimal at an hourly rate, and the heater and install kit are priced as parts with their own quantities. Hauling the old tank away is its own line because it is a real cost and customers always ask about it. The sales tax rate here is a local combined rate — check what your state applies to labor versus parts before copying it.

Splitting the call-out, the hours, and each part onto separate lines is what prevents the "why was it this much?" phone call two days later.

Five details every plumbing customer looks for

  • Your plumbing license

Most states require the master plumber license number on the invoice — type it on a line under your business name in the address block, or alongside your warranty terms in the notes field.

  • Service call as line one

Bill the trip or diagnostic charge as its own line at quantity 1 before any labor, so the customer sees what the visit cost separately from the time spent on site.

  • Labor hours as decimals

Put the time on site in the quantity column — 1.5 for ninety minutes, 3.25 for a longer replacement — with your hourly rate beside it, rather than quoting the work as one lump sum.

  • Each part priced separately

Give the water heater, shut-off valve, wax ring, or flex connector its own line with quantity and unit price, so nobody has to ask what the parts cost versus the labor to fit them.

  • Job address in the notes

There is no property field, so put the service address in the notes whenever it differs from the billing address — landlords and rental agencies need to know which unit the bill covers.

Frequently asked questions

What should a plumbing invoice include?

Your business name with your license number on the line under it, the customer's details, an invoice number and due date, and separate line items for the service call fee, labor, and parts. Put the job address and any warranty terms in the notes field so they're on the record.

Do I charge sales tax on plumbing labor or just parts?

It varies by state — some tax parts only, others tax the full job, and the rules can differ for repairs versus new construction. The tool applies one rate to the whole invoice after any discount, so confirm with an accountant what's taxable before setting it.

How do I invoice a deposit on a larger job?

Create a separate deposit invoice — one line like 'Deposit — water heater replacement, 214 Elm St' at the agreed amount. When the job is done, invoice the balance and reference the deposit invoice number in the notes so the paper trail is clear.

Should I bill flat-rate or itemize parts and labor?

Both work here. A flat-rate job is one line at quantity 1 with the agreed price; if you itemize, list each part with its quantity and unit price and put labor on its own line — hours in the quantity column, your hourly rate in the rate column.
