What a VAT invoice needs to include
A valid VAT invoice generally shows your business name and address, your VAT registration number, an invoice number and date, your customer's details, a description of the goods or services, and the VAT rate and amount charged on top of the net total. Add your VAT number under your business name or in the notes, set your rate, and the generator calculates the VAT line and gross total for you.
The default rate here is 20% — the UK standard rate — but you can change it to any rate that applies to your supply, including reduced or zero rates, or the rate used in your EU country.
Follow a hire invoice from net price to gross total
A plant hire firm in Wolverhampton invoices a groundworks contractor at the end of a three-week job in Stafford. Hire is priced by the week, so the quantity column holds weeks rather than hours, and the two machines sit on separate lines because each carries its own weekly rate. Transport is charged per journey — once out to site, once back — while the fuel replaced on return and the breaker point damaged on site go on as goods at the end. Every price is entered exclusive of VAT, which is how trade suppliers quote.

Every VAT invoice has to carry your VAT number, so put it on its own line under your business name in the address block or in the notes — there's no dedicated field for it.
An unbroken invoice sequence
VAT invoice numbers must run in a single sequence with no gaps, so keep one series such as INV-2026-0148 across all customers rather than restarting the count per client.
Invoice date and tax point
Put the invoice date in the issue date field, and if the tax point differs — say you supplied in March but billed in April — state the date of supply in the notes.
Net prices, then one VAT line
Enter unit prices excluding VAT so the invoice shows the net total, the 20% VAT charged on it and the gross amount as three separate figures the customer can reconcile.
Reverse charge or zero-rate wording
For an EU B2B supply or construction work under the domestic reverse charge, set the rate to 0 and put the required wording — such as "reverse charge: customer to account for VAT to HMRC" — in the notes field.

Do I need to be VAT registered to issue a VAT invoice?
You should only charge VAT and issue VAT invoices if you're VAT registered. If you're not registered, simply clear the tax rate and issue a standard invoice without a VAT line.
