Tax invoices and VAT in the UAE
If you're registered for VAT in the UAE, you charge 5% on your taxable supplies and issue a tax invoice. A valid tax invoice shows the words 'Tax Invoice', your 15-digit TRN (Tax Registration Number), a sequential invoice number, the issue date, and your customer's details. Put your TRN on a line under your business name, keep the VAT rate at 5%, and add the 'Tax Invoice' wording at the start of the notes field so it prints on the PDF.
VAT registration is mandatory once your taxable turnover passes AED 375,000 over the previous 12 months. If you're below that threshold and not voluntarily registered, you don't charge VAT — clear the tax rate so no VAT line appears, and leave the TRN off. Amounts are shown in dirhams (AED) throughout the preview and the PDF.
The UAE is phasing in a Peppol-based e-invoicing regime, with the first mandatory deadlines expected from 2027 for larger businesses. That system exchanges structured XML through an accredited service provider — this generator makes a standard invoice PDF in AED, which is fine for everyday billing but isn't a cleared electronic invoice. Check where your business sits with an accountant if you're near the rollout.
Billing a trade-show stand against an LPO
A Dubai exhibition contractor invoicing a medical supplier for a trade-show stand, billed as fixed stage fees rather than by the hour — the way UAE work is normally awarded against an LPO. Each deliverable sits on its own line at the price quoted in the proposal, so the client can see what the design, the fabrication, the on-site crew and the venue approvals each cost. VAT at 5% is applied to the subtotal after any discount, and the words 'Tax Invoice' go in the notes field so they print on the PDF.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Custom stand design, 3D visuals and two revisions | 1 | AED 6,500.00 | AED 6,500.00 |
| Stand fabrication and printed graphics — 18 sqm custom build | 1 | AED 42,000.00 | AED 42,000.00 |
| Build-up and dismantle, including crew and transport | 1 | AED 11,500.00 | AED 11,500.00 |
| Venue contractor passes and municipality approvals — handling | 1 | AED 2,200.00 | AED 2,200.00 |
| Subtotal | AED 62,200.00 | ||
| VAT 5% | AED 3,110.00 | ||
| Total due | AED 65,310.00 | ||
Every line is a fixed stage fee rather than an hourly rate, which is what a UAE client's purchase order is usually raised against.
Leave any of these off and it isn't a tax invoice
The words 'Tax Invoice'
There's no dedicated field for it, so type 'Tax Invoice' at the start of the notes field or alongside your invoice number, since a UAE tax invoice has to carry that wording.
Your 15-digit TRN
Add 'TRN 100123456700003' on a line under your business name in the address block, and put the customer's TRN under their name if they're registered too.
The client's LPO number
UAE accounts departments rarely process an invoice without the Local Purchase Order reference, and there's no PO field here — quote it in the notes or at the end of the first line item.
Dirhams and the 5% line
Bill in AED with the tax line set to 5%; if you agreed the price in another currency, note the AED equivalent and the exchange rate you used in the notes.
Transfer details and terms
Set a due date on the invoice and put your Emirates NBD or ADCB account name and IBAN in the notes, since UAE clients settle by bank transfer or cheque.

Frequently asked questions
Where do I put my TRN on the invoice?
Add it on a line under your business name in the address block — for example 'TRN 100123456700003'. Every tax invoice from a VAT-registered UAE business should display the 15-digit Tax Registration Number.
Does the invoice need to say 'Tax Invoice'?
Yes — a UAE tax invoice must carry the words 'Tax Invoice'. There's no dedicated field, so type them at the start of the notes field or alongside your invoice number so they appear on the PDF.
Is VAT applied before or after a discount?
After. The generator applies your discount to the subtotal first, then calculates 5% VAT on the discounted amount — which is the value the VAT is actually due on.
What if my turnover is below AED 375,000?
VAT registration is only mandatory above AED 375,000 of taxable supplies in a 12-month period. If you're not registered, clear the tax rate so no VAT line shows and leave the TRN off — check with an accountant if you're near the threshold or weighing voluntary registration.
