Tax invoices and GST in Singapore

GST-registered businesses in Singapore issue tax invoices for standard-rated sales — the document shows the words 'Tax Invoice', the GST registration number, and the GST amount. The preset here applies 9% GST (the rate since 1 January 2024) to the subtotal after any discount, so the GST amount takes care of itself; add 'Tax Invoice' at the start of the notes field and put your GST registration number on a line under your business name in the address block.

Not registered? Clear the tax rate to 0. Registration only becomes compulsory once taxable turnover passes S$1 million, and businesses that aren't GST-registered are prohibited from charging GST — so most freelancers and small studios in Singapore issue plain invoices with no GST line at all.

Whatever your registration status, add your UEN on a line under your business name — it's standard on Singapore invoices and it's how clients verify you on ACRA's register. The currency preset is SGD, so amounts on the live preview and the downloaded PDF are formatted in Singapore dollars.

Corporate secretarial fees for one financial year

A corporate secretarial firm in Tanjong Pagar bills a small F&B group for the year, sent once the annual return has gone in. Acting as named company secretary and preparing the XBRL statements are fixed fees, the registered office address is priced by the month so the quantity column simply holds 12, and board and shareholder resolutions are charged per resolution drafted and lodged. The firm is GST-registered, so 9% GST is applied once to the subtotal after any discount.

ACRA's own lodgement fees are disbursements rather than part of your fee, and the single GST line applies to everything in the subtotal, so recover them on a separate document instead of adding a row here.

Details Singapore clients expect to see

  • UEN under your name

Add 'UEN 201812345K' on a line beneath your business name in the address block — it is how Singapore clients check you on ACRA's register and it is expected on every invoice, registered for GST or not.

  • GST registration number

If you are GST-registered, add 'GST Reg No' on the next line down, since a tax invoice has to show it; the 9% GST amount itself is calculated for you.

  • Only charge GST if registered

Registration is compulsory once taxable turnover passes S$1 million and charging GST without being registered is prohibited, so clear the tax rate if that is you.

  • Tax Invoice wording

A standard-rated sale to a GST-registered buyer should carry the words 'Tax Invoice', so type them at the start of the notes field where there is no dedicated place for them.

  • PayNow details in notes

The generator takes no payments, so put your PayNow UEN or bank account and your terms — 14 days from invoice date is the local norm for monthly service billing — in the notes field.

Frequently asked questions

Do I charge GST on my invoices?

Only if you're GST-registered. Registration is compulsory once taxable turnover passes S$1 million; below that it's optional, and businesses that aren't registered are prohibited from charging GST — set the tax rate to 0 and invoice the plain amount. Check with an accountant if you're near the threshold.

Where do my UEN and GST registration number go?

Add them on lines under your business name in the address block — for example 'UEN 201812345K' and 'GST Reg No 201812345K'. There's no dedicated field, but the address block prints them exactly where Singapore clients expect to see them.

What makes it a 'tax invoice' rather than a regular invoice?

Tax invoices from GST-registered businesses show the words 'Tax Invoice', the GST registration number, and the GST amount. Add the wording and number via the notes field or address block — the 9% GST line and amount appear automatically. IRAS publishes the full list of required contents, so check it if you're newly registered.

Can it send invoices through InvoiceNow?

No — the generator produces a PDF you download and send yourself; it doesn't connect to InvoiceNow or the Peppol network. IRAS is phasing in InvoiceNow requirements for GST-registered businesses, so check the current rules if you're registered — for everyone else, a PDF invoice works as it always has.
