Tax invoices in Australia

If you're registered for GST, sales of $82.50 or more (including GST) need a tax invoice showing your business name, ABN, the date, a description of what was sold, and the GST amount. Add your ABN under your business name, keep the GST rate at 10%, and include the words 'Tax Invoice' in the notes if you need the exact wording.

Not registered for GST? Then you issue regular invoices without a GST line — just clear the tax rate.

How a mobile mechanic bills a month of fleet work

Dhillon Mobile Mechanical services a commercial laundry's delivery vans on site at their Moorabbin depot, so a single tax invoice covers the whole month instead of a docket per van. Scheduled logbook servicing is a fixed price per vehicle, which is why the quantity column carries the number of vans rather than hours. Unscheduled work is split the way a fleet manager reads it — parts at the price paid, labour at the on-site hourly rate for the decimal hours actually worked — and the extra trip out to Braeside is billed as its own call-out. GST applies to the lot at 10%.

Rego numbers sit inside the line descriptions because the form has no vehicle field, and that is what lets the fleet manager match every repair back to a van without chasing a separate worksheet.

What makes it a valid tax invoice

  • The words "Tax Invoice"

There is no field for the document heading, so open the notes field with "Tax Invoice" alongside your ABN — the ATO expects a tax invoice to identify itself as one.

  • Your ABN

Put your 11-digit ABN on a line under your business name in the address block — without it a business customer is required to withhold 47% of the payment.

  • GST at 10%

Set the tax label to GST and the rate to 10, unless what you're supplying is GST-free, in which case leave the rate empty and say why in the notes.

  • The buyer, once you pass $1,000

For invoices of $1,000 or more the buyer's identity or ABN has to appear, so fill in the client name and address block properly rather than just naming the site.

  • Claim and site references

There is no claim or job field, so keep the progress claim number and site address in the notes and reference each variation number inside the line item description.

Frequently asked questions

Where do I put my ABN?

Add it on a line under your business name in the address block — for example 'ABN 12 345 678 901'. Tax invoices from GST-registered businesses should always show the ABN.

Does the invoice need to say 'Tax Invoice'?

GST-registered businesses issuing tax invoices should include the words 'Tax Invoice'. Add them at the start of the notes field, or alongside your invoice number.

Is GST applied before or after a discount?

After. The generator applies your discount to the subtotal first, then calculates 10% GST on the discounted amount.

What if I don't have an ABN?

If you don't quote an ABN on your invoice, a business customer may have to withhold 47% from the payment and remit it to the ATO. Registering for an ABN and showing it on the invoice avoids that withholding.
