Invoicing in India

Freelancers, agencies, and small businesses across India all need the same basics on an invoice: your details and the client's, a consecutive invoice number, issue and due dates, itemized work, and amounts in rupees. The currency here is preset to INR, so you fill in the numbers and the totals add up — a clean, professional PDF you can hand over the same day, with no sign-up and no watermark.

Whether you add GST depends on registration. Under the threshold — turnover below ₹20 lakh for services or ₹40 lakh for goods, lower in some special-category states — you issue a plain invoice with no tax line, so just leave the GST rate empty. If you are registered, set the rate for your slab; most professional services sit at 18% after the September 2025 slab simplification. For the full GST tax-invoice format — where your GSTIN goes, HSN and SAC codes on each line, and the CGST/SGST versus IGST split — reach for our dedicated GST invoice generator instead, which is built around exactly those fields.

Two India-specific things to know. Export invoices and e-invoicing carry extra requirements — LUT declarations, an IRN generated on the government's Invoice Registration Portal — that this tool doesn't file for you; it produces the PDF and nothing more. And amounts use international digit grouping, so a total reads as 1,234,567.89 rather than the lakh-style 12,34,567.89.

An office fit-out billed as goods, not services

Vasant Office Systems fits out an analytics firm's new floor in Pune. Everything on this invoice is a supply of goods, so each item carries a per-unit price and the count goes in the quantity column — twelve desks, twelve chairs, twelve pedestals and a pair of discussion tables. Delivery and on-site assembly are added once as a flat line rather than spread across the items. Office furniture is an 18% GST supply, so a single rate covers the whole invoice.

DescriptionQtyRateAmount
Workstation desk 1200 x 600 mm with modesty panel and cable tray12₹11,800.00₹141,600.00
Ergonomic task chair — mesh back, adjustable lumbar and arms12₹9,450.00₹113,400.00
Mobile pedestal — 2 drawers and filing bay12₹4,200.00₹50,400.00

Subtotal₹351,900.00

The generator gives you one tax line, so label it 'GST 18%' and let it run across the invoice. A supply inside your own state is really CGST plus SGST at half each — write that split into the notes field rather than hunting for a second tax rate.

Does your invoice satisfy the GST rules?

  • GSTIN and PAN

There's no dedicated field for either, so put both on lines under your business name in the address block — the GSTIN so a registered client can claim input credit, the PAN because that's what any TDS deducted from you gets matched against.

  • A financial-year number series

Indian invoice numbers usually restart each April with the fiscal year in the prefix — VOS/2026-27/001 — and the series has to run unbroken through to the following March.

  • Bank details for NEFT or UPI

Put the account number, IFSC code and your UPI ID in the notes field, because without the IFSC an Indian client's accounts team simply can't push the transfer through.

  • Expect TDS to be deducted

Business clients withhold TDS before paying — commonly 10% under section 194J on professional fees, or 2% under 194C on contract work — so name the section in the notes and reconcile the shortfall against your Form 26AS rather than chasing it as an unpaid balance.

  • Billing an overseas client

Switch the currency away from INR and record your LUT reference or export status in the notes, remembering the tool only produces the PDF and files nothing on the e-invoice portal for you.

Frequently asked questions

Do I have to charge GST to invoice from India?

No. If you're under the registration threshold — broadly ₹20 lakh turnover for services or ₹40 lakh for goods, with lower limits in some special-category states — clear the tax rate and issue a plain invoice. The rules have exceptions, so check with an accountant if you're close to the line.

What currency and number format does it use?

Amounts are preset to Indian rupees (₹) and formatted with international digit grouping, so a total shows as 1,234,567.89 rather than the lakh-style 12,34,567.89. You can switch to any of the other supported currencies if you bill overseas clients.

I'm registered for GST — should I use this page?

You can — set the GST rate and add your GSTIN under your business name. But if you need the tax-invoice specifics (GSTIN placement, HSN/SAC codes per line, and the CGST/SGST or IGST split), our GST invoice generator is purpose-built for that format.

Can this generate an e-invoice with an IRN?

No — an IRN comes from registering the invoice on the government's Invoice Registration Portal, a separate step this tool doesn't perform. It creates the invoice PDF; if e-invoicing applies to your turnover, you still report the invoice on the IRP yourself.
