What goes on a Dutch factuur

A Dutch factuur has to carry a few specific things: your business name and address, your KVK (Chamber of Commerce) number and your BTW-id, a sequential invoice number, the issue date, and a clear description of what you supplied. Put the KVK number and BTW-id on their own lines under your business name in the address block, keep the currency on euros and the BTW rate at 21%, and the generator totals the BTW on the subtotal for you.

The 21% rate is the standard one. A reduced 9% BTW rate applies to things like food, books, medicines, and painting or plastering work on homes — if that's your line of work, change the rate to 9. There's only one tax line, so if a single factuur mixes 21% and 9% items you'll need to split it into two invoices or break the BTW out per line in the notes.

Registered under the kleineondernemersregeling (KOR)? Then you don't charge BTW at all — set the BTW rate to 0 and add 'Vrijgesteld van btw op grond van de KOR' in the notes so the client knows why no BTW is charged. The KOR is an optional exemption for small businesses with annual turnover under EUR 20,000; check with your accountant whether it fits your situation.

Run through this list before you download

  • KVK number and BTW-id

    A factuur has to show your Chamber of Commerce (KVK) number and your BTW-id, and with no dedicated fields for them they go on their own lines under your business name in the address block.

  • Sequential invoice numbers

    Dutch rules expect one unbroken numbered series, so keep a running pattern such as 2026-0142 and never skip or reuse a number between factuur and creditfactuur.

  • The address you worked at

    Write the property or site address into the line description — 'Bouwkundige keuring — Kerkstraat 12, Utrecht' — since there is no job-address field and that address is what the client's bookkeeping matches the invoice against.

  • 21% or 9% BTW

    The tax line is preset to the standard 21% BTW; drop it to 9% for reduced-rate work such as painting or plastering a home over two years old, and split a mixed job across two invoices because only one tax line is calculated.

  • Verlegd or KOR wording

    If BTW is shifted to a Dutch business customer, set the rate to 0 and type 'btw verlegd' with their BTW-id in the notes; KOR-registered businesses add 'vrijgesteld van btw op grond van de KOR' the same way.

Frequently asked questions

Where do I put my KVK number and BTW-id?

Add them on their own lines under your business name in the address block — for example 'KVK 12345678' and 'BTW NL001234567B01'. A valid Dutch factuur has to show both.

Is BTW applied before or after a discount?

After. The generator applies your discount to the subtotal first, then calculates 21% BTW on the discounted amount.

I'm in the KOR — how do I make a factuur without BTW?

Set the BTW rate to 0 so no BTW is added, then add a note such as 'Vrijgesteld van btw op grond van de KOR'. Under the small-business scheme you don't charge BTW, so the invoice shows only the net amounts.

Can I make an invoice with the 9% BTW rate?
