Peppol since January 2026, and what a PDF is still good for
The caveat first, because a client should not be the one to break it to you. Structured B2B e-invoicing became mandatory in Belgium on 1 January 2026: invoices between Belgian VAT-registered businesses have to be exchanged as structured electronic invoices over the Peppol network in an EN 16931 format, and emailing a PDF no longer satisfies that obligation. This tool makes a PDF, connects to no network and is not a Peppol document. What it is still right for is real work — private customers, who sit outside the mandate entirely, plus quotes, drafts, and the readable copy a business client files alongside the structured invoice. For anything B2B, ask what your client's accounting package actually receives, and check the current scope with your accountant.
A Belgian invoice is then judged on a short list of details: your enterprise number written as a VAT number — BE 0123.456.789 — the client's if they are VAT-registered, a sequential invoice number, the date, an honest description of the supply, and the BTW worked out on it. The tax preset is 21%, calculated on the subtotal after any discount, and the label reads BTW/TVA so the same document works either side of the language border. Neither VAT number has a dedicated field, so yours goes on a line under your business name in the address block and the client's under theirs.
Two Belgian habits are worth building in. The first is the gestructureerde mededeling, the communication structurée — twelve digits ending in a check, written as +++123/4567/89012+++ in the notes, which is what lets your bank match the payment to the invoice without anyone reading a reference by hand. The second is language: a business established in Flanders draws up its invoices in Dutch, in Wallonia in French, in the German-speaking area in German, and in Brussels in either, with a courtesy translation added where it helps. The same care applies to the 6% renovation rate for private dwellings at least ten years old: the old attest was abolished in 2022 and replaced by a standard declaration that has to appear on the invoice itself, so put the FOD Financiën wording in the notes, change the tax rate, and remember the customer has a month to tell you the invoice should have been at 21%.
Three and a half hours at a kitchen table in Gent
Vandenbroucke IT-Service works on private customers' machines at home, so everything except the part is billed at one hourly rate — and because the customer is a consumer rather than a business, a PDF is exactly the right document here. The repair itself took three and a half hours, typed as 3.5 in the quantity column rather than rounded up to four, and the follow-up setup of back-ups, mail and the home network another hour and a half. The SSD is passed on as a part with the data migration folded into its price, the call-out is a flat charge, and BTW stays on the standard 21%.

The +++ communication in the notes
Write the structured communication as +++123/4567/89012+++ beside your IBAN; there is no payment-reference field, and without it your bank statement shows a payment nobody can match to an invoice.
The language of your region
Dutch in Flanders, French in Wallonia, German in the German-speaking area, either in Brussels — use the language your establishment obliges you to use and add a translation beneath it if the customer reads the other one.
6% needs the declaration printed, not filed
Set the tax rate to 6 for qualifying work on a dwelling at least ten years old and put the standard FOD Financiën declaration in the notes so it appears on the invoice — the separate attest was abolished in 2022 and the customer has one month to object.
