Pflichtangaben, the UID number and the 20% USt line

§11 UStG sets out what an Austrian Rechnung has to carry: your name and address, the customer's, the quantity and ordinary description of what you supplied, the date or period of supply, the net amount, the USt rate and amount, a consecutive invoice number and your UID-Nummer. The UID is the Austrian giveaway — ATU followed by eight characters — and since there is no dedicated field it goes on a line under your business name in the address block; a Kleinunternehmer who has never needed a UID puts their Steuernummer there instead. Once an invoice passes €10,000 gross you also have to show the customer's UID, so ask for it before you start typing rather than after they query the document.

The preset is USt at 20%, worked out on the subtotal after any discount, but Austria's reduced bands do not line up with Germany's. 10% covers food, rent, accommodation, books and passenger transport; 13% is the distinctly Austrian one, reaching artists, cultural events, domestic flights, plants and live animals; and in the enclaves of Jungholz and Mittelberg the standard rate is 19% rather than 20%. Change the rate in the tax field to match what you actually supplied. Only one tax line is calculated, so an invoice that would mix 10% and 20% is better issued as two.

Invoicing as a Kleinunternehmer under §6 Abs 1 Z 27 UStG means showing no USt at all: clear the tax rate so no line is calculated and write 'Umsatzsteuerbefreit — Kleinunternehmer gemäß §6 Abs 1 Z 27 UStG' in the notes. Since 2025 the limit has been €55,000 measured on the turnover you actually invoice — not a net figure with notional VAT stripped out — tested against the previous year as well as the current one, with a 10% tolerance band to €60,500 that lets you finish the year exempt; go past that and the exemption ends on the spot, and the old allowance to exceed the limit once in five years is gone. Check where you stand with a Steuerberater. Two further limits are worth knowing: under €400 gross a Kleinbetragsrechnung may leave out the customer's details, and cash takings above the Registrierkassen thresholds need a signed receipt from a registered cash register — a PDF from this tool is not one, and neither is it the ebInterface or Peppol e-Rechnung federal bodies require through the USP.

One glacier tour, eleven walkers, no USt line

Alpinschule Auracher takes a company group onto the Hintertux glacier and prices the day per head rather than as a flat fee, because the group size was still moving the week before. Eleven participants pay the same per-person rate, and the six who needed crampons, harness and axe pay hire on a second per-person line. The evening briefing and kit check is a flat charge, the minibus run from Innsbruck is billed per kilometre at the official Kilometergeld rate of €0.50, and because the guide invoices as a Kleinunternehmer the tax field is left empty.

The empty tax field is deliberate: a Kleinunternehmer may not show USt at all, so the exemption sentence goes in the notes — and the day you cross the threshold you set the field back to 20.

Where an Austrian Rechnung parts company with a German one

  • UID-Nummer, yours and sometimes theirs

    Austria identifies you on the invoice by a UID in the form ATU12345678 rather than a Steuernummer, written under your business name in the address block — unless you are a Kleinunternehmer with no UID, who shows the Steuernummer instead. Above €10,000 gross the customer's UID has to appear under their name too.

  • The 13% band Germany does not have

    Alongside 20% and 10%, Austria taxes artists, cultural events, domestic flights, plants and live animals at 13%, and the standard rate in Jungholz and Mittelberg is 19% — set the rate to what you supplied instead of defaulting to 20.

  • Kleinbetragsrechnung under €400

    Below €400 gross a simplified invoice may omit the customer's details and the separate tax amount, which is why a quick receipt looks thinner than a full Rechnung — anything above that needs the complete set of Pflichtangaben.

  • Kleinunternehmer means no tax line at all

    Do not type 0 into the rate: clear it so no USt line is calculated, then write 'Kleinunternehmer gemäß §6 Abs 1 Z 27 UStG' in the notes. The €55,000 limit is measured on the turnover you actually invoice, not a net figure, and more than 10% over it ends the exemption immediately — check it with a Steuerberater.

  • A Rechnung is not a Registrierkassenbeleg

    Cash takings above the Registrierkassen thresholds need a signed receipt from a registered cash register, and federal customers want an ebInterface or Peppol e-Rechnung through the USP — this PDF is neither, so keep it for invoices you send and are paid for by transfer.

Where does the UID-Nummer go?

On a line under your business name in the address block — 'UID ATU12345678' — since there is no dedicated field, and a Kleinunternehmer without a UID writes their Steuernummer there instead. On invoices over €10,000 gross you must show the customer's UID as well, so put theirs under their name in the same way.
