Counting panes, visits and screens

Residential work is usually counted. Put the pane count in the quantity column and your price per pane beside it, and split interior from exterior into two lines — they are different jobs with different access, and a good share of customers take exterior only. Say in the description what you are counting as a pane, because divided lites, transoms, sidelights, and glass doors are exactly where a bill gets queried: 'Exterior glass — 34 panes, divided lites counted as one pane each' settles it before anyone asks. Storm windows, screens off and on, and second-story work priced differently all read better as their own lines than as a higher pane rate.

Commercial route work is easier by the visit. A monthly storefront contract fits on one line — 'Storefront exterior glass, weekly visit' at quantity 4 and your flat per-visit price — or on four lines if the scope varied week to week. Extras attach underneath: screen removal, wash and refit per screen; track and sill detailing per window; hard-water and mineral stain treatment per pane; post-construction scraping by the hour. There is no field for a PO or a service period, so put the visit dates and any purchase-order reference into the notes — a property manager approving a monthly bill looks for those before anything else.

One tax line is available, applied to the subtotal after any discount, with a label you set. Whether window cleaning is taxable at all depends on where you work: some states tax cleaning and maintenance services, some do not tax services at all, and a few states have no sales tax to charge. Set the rate you actually collect, leave it empty when you do not, and check with an accountant. Either, depending on the work. A pane count is the honest measure of a one-off residential clean, and the customer can check it themselves. A number of visits suits a commercial route, because a predictable monthly figure beats re-counting a storefront every week. Both use the same two columns, so the description is where you say which one the line is counting.

How do I show interior and exterior glass separately?

Give each its own line rather than one combined pane rate. Interior costs more per pane in access, furniture moving, and time, and many clients buy exterior only — separating them means a client can drop or add the interior without you re-quoting the visit.

Can I invoice a whole month of storefront visits on one invoice?

Yes — put the number of visits in the quantity column against your flat per-visit price, and list the visit dates in the notes since there is no service-period field. There is no recurring or automatic billing here: reopen the autosaved draft next month, change the number and dates, and download a fresh PDF to send yourself.

Do I charge sales tax on window cleaning?
