Billing legal work as line items
Enter each billable task as its own line item — put the time in the quantity column and your hourly rate in the rate column. Decimals work, so 2.3 hours of drafting or a 0.4-hour call bills correctly. If several timekeepers worked the matter, give each a line at their own rate — a partner at one rate, an associate or paralegal at another. Flat-fee work — a simple will, an LLC formation, an uncontested filing — goes on a single line at a set price, no hours needed.
Put the matter or case reference in the notes field along with your payment terms and remittance details. There's no dedicated matter-number field, but a line like 'Re: Smith v. Jones, Matter #2024-118' at the top of the notes keeps the invoice tied to the file. If the work draws down a retainer you're holding, note the opening balance, this invoice's fees, and the remaining balance there too. Give the invoice a sequential number (INV-001, INV-002…) and set a due date so the payment deadline is unambiguous.
One caveat: this generates a standard invoice PDF, not a trust ledger. Rules for retainers, trust accounting, and IOLTA vary by state bar — how you draw down client funds and what your billing statement must show is a matter for your jurisdiction, so treat the retainer note here as a summary for the client, not your accounting record.
Three timekeepers, one matter
This is a month of work on one small-business client's file, billed the way most firms handle it: one line per task, hours in the quantity column, and the rate of whoever actually did the work. The rate follows the timekeeper, not the task, so partner, associate and paralegal time each come in at a different price and the client can see what was delegated downward. The entity formation was quoted as a flat fee, so it sits on a single line at a quantity of one rather than in hours. The matter reference goes in the notes field, since the form has no dedicated place for it.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Client conference re: lease terms — partner (K.W.) | 0.8 | $425.00 | $340.00 |
| Draft and revise commercial lease agreement — associate (T.R.) | 6.2 | $275.00 | $1,705.00 |
| Telephone conference with landlord's counsel — associate (T.R.) | 0.4 | $275.00 | $110.00 |
| Exhibit assembly and document index — paralegal | 2.5 | $145.00 | $362.50 |
| Single-member LLC formation — flat fee | 1 | $900.00 | $900.00 |
| Subtotal | $3,417.50 | ||
| Total due | $3,417.50 | ||
Each task gets its own line at the rate of the timekeeper who performed it, which is how a 0.4-hour call and a flat-fee formation end up on the same invoice.
Check these before the bill leaves the office
Matter reference
Open the notes field with the case or matter reference — "Re: Ostrander v. Kelso, Matter #2026-204" — because there is no dedicated matter-number field on the form.
Time to the tenth
Type decimals straight into the quantity column so tenth-of-an-hour billing works: a 0.3-hour call and a 6.2-hour drafting session are both charged at your exact rate.
Who did the work
Name the timekeeper and their level in each line description (partner, associate, paralegal) so a client reviewing the bill can see which work was delegated to a lower rate.
Task-level descriptions
Write what was actually done — "draft reply brief", "telephone conference with opposing counsel" — rather than a single "legal services" line, which is the entry clients query most often.
Retainer draw-downs
If these fees draw against a retainer you hold, type the opening balance, this invoice's fees and the remaining balance into the notes yourself — the form produces an invoice, not a trust account statement, so it will not track that balance for you.

Frequently asked questions
How do I bill hourly legal work?
Put the hours in the quantity column and your hourly rate in the rate column — decimals like 2.3 or 0.4 are supported, so partial hours bill correctly. Add one line per task or per timekeeper, and the line and invoice totals are calculated for you.
Can I put the matter or case number on the invoice?
There's no dedicated matter-number field, so add it to the notes — a line like 'Re: Estate of Adams, Matter #2024-118' keeps the invoice tied to the file. You can note the client's own reference the same way.
How do I show a retainer drawdown?
Note the retainer's opening balance, the fees billed on this invoice, and the remaining balance in the notes field. Keep in mind this makes an invoice, not a trust ledger — trust and IOLTA accounting rules vary by state bar, so check yours.
Can I bill a flat fee instead of hours?
Yes — enter the service (a will, an LLC formation, a document review) as a single line item with a quantity of 1 and the flat price as the rate. You can mix flat-fee lines and hourly lines on the same invoice.
