Billing for accounting and tax work

Accounting work usually bills one of two ways, and you can mix both on the same invoice. Enter a flat fee per engagement — a 1040 or 1120 return, a compiled year-end financial statement, a quarterly estimate — as its own line, and name the tax year or return type right in the description ("2025 Form 1040 preparation"). For advisory or representation work, put your hours in the quantity column (decimals like 3.5 work) and your hourly rate beside it, so planning calls and tax-notice responses show as separate lines from the fixed-fee returns.

This is invoicing for accountant and CPA deliverables — return preparation, financial statements, tax planning — not the recurring transaction-recording that a bookkeeping invoice covers. Reference your engagement letter in the notes field so the invoice ties back to the scope the client signed, and state your terms there too: net-30 is typical for professional accounting fees. Add your payment details to that same notes field, and give each engagement a sequential invoice number (INV-001, INV-002…) so it stays easy to track.

There's no dedicated field for a CPA license, PTIN, or firm EIN — put it on a line under your firm name in the address block. If your state taxes accounting services, set the single tax line to your rate and label; if the work isn't taxable, leave the tax rate empty. Your draft autosaves in the browser, so once the next return is filed you can reopen it, update the number and dates, and download a fresh PDF.

Price the return, bill the hour

This is a year-end invoice for a small S-corp client, and it runs on a different principle from an attorney's bill: the price follows the deliverable, not the person. Every return is quoted in advance, so each one carries a fixed price with the count in the quantity column — one 1120-S, two owner 1040s, four quarterly estimates — and only the work that cannot be quoted up front is billed by the hour, all of it at the firm's single hourly rate. Naming the form and the tax year in every description is what stops a client asking which year they are paying for, which matters when they are catching up on more than one.

DescriptionQtyRateAmount

2025 Form 1040 preparation — both owners2$525.00$1,050.00
2026 estimated tax recalculation and vouchers — per quarter4$95.00$380.00

Quoted returns are priced per deliverable and counted in the quantity column, while open-ended work runs on hourly lines at one firm rate, so a fixed fee never quietly absorbs advisory time.

Details that stop a client asking which year they are paying for

  • Form and tax year

Put the return and the year in the line description — "2025 Form 1065 preparation" — so a client catching up on three years of filings can tell the invoices apart.

  • Flat fee vs. hourly

Give each quoted return a fixed price as the rate and use the quantity column for how many you prepared, then bill planning, representation or notice work on separate lines with the hours in the quantity column.

  • Engagement letter reference

Cite the engagement letter and its date in the notes field so every fee on the invoice maps back to the scope the client actually signed.

  • License, PTIN or EIN

There is no field for a CPA license number, PTIN or firm EIN, so add it as an extra line under your firm name in the address block.

  • What's billed separately

Say in the notes that extensions, amended returns and IRS correspondence are charged outside the quoted fee, so the flat price isn't read as covering the whole year.

Frequently asked questions

How should I bill a tax return versus advisory time?

Enter each return as a flat-fee line with the form and tax year in the description (for example, "2025 Form 1120-S preparation"), and bill advisory or representation work hourly — hours in the quantity column, your rate beside it. Both can sit on the same invoice.

What payment terms do accounting firms usually use?

Net-30 from the invoice date is typical for professional fees, though some firms bill on completion of the return or take a retainer during tax season. State your terms and reference the engagement letter in the notes so the invoice ties back to the signed scope.

Can I show my CPA license or firm EIN on the invoice?

There's no separate field for it, but you can add a line under your firm name in the address block for your license number, PTIN, or EIN. Any other reference, like a client matter number, goes in the notes field.

How is this different from a bookkeeping invoice?

It's the same tool for different work — an accounting invoice bills for CPA deliverables like return preparation, financial statements, and advisory, usually as flat fees per engagement or hourly. Recurring monthly transaction work belongs on a bookkeeping invoice instead, listed as a monthly line.
