Services, retail and chair rent on a salon invoice

Give every service its own line at the price your menu shows — cut and finish on one line, the color application on another, toner, gloss and bond treatments on their own. Anything charged by the unit rather than by the appointment fits the quantity column: a second bowl of color for long hair, an extra bond treatment at the backwash. Where two stylists worked on one client at different rates, that is simply two lines, because each line carries its own price.

Retail sells on the same invoice — put the product and size in the description, the number of bottles in the quantity column, and your shelf price as the rate. The one thing to watch is tax. The preset is USD with a Sales Tax label, and that single rate applies to the whole subtotal after any discount, so it cannot tax the shampoo while leaving the haircut alone. Most states tax retail products and exempt personal services, but a handful tax salon work too — Iowa, for one, lists barber and beauty services as taxable. If services are exempt where you work, invoice the retail separately and check the split with an accountant.

Make the self-employed stylist the client, put the number of weeks in the quantity column against your weekly chair rate, and add lines for whatever you recharge — back-bar color, card processing, towel laundry. Everything the form has no field for goes in the notes: your cosmetology license number, the color formula and developer volume so the next visit matches, the patch test date, and your no-show policy. Retail sits on the same ticket here because Iowa taxes goods and salon services alike at 6% state plus 1% local — where your state taxes products but exempts services, put the retail on its own invoice, since the form applies one rate to the whole subtotal.
