Pricing a nail invoice off the service menu

Bill straight off the menu board. One line per service, named the way the menu names it — gel manicure, full set with tips, two-week fill, deluxe pedicure — at the posted price, so a client can match the invoice against the board she read on the way in. Removal is its own line when you are soaking off another salon's work, and so is a single broken nail repaired outside your free-fix window.

Add-ons stay off the base service line. Gel top coat, French tips, extra length, chrome and cat-eye finishes each get a line, and hand-painted art prices cleanly per nail: put the number of nails in the quantity column with your per-nail rate beside it, so nine accent nails is one honest line rather than a guessed design fee. Prepaid series work the same way — a five-pedicure package is one line at quantity 5 with the per-service price, and the package saving comes off in the discount field so your standard rate stays visible.

Group bookings are a head count. Put the number of guests in the quantity column against the per-guest rate, add separate lines for the upgrades only some guests took, and give any private-room or after-hours charge its own line. The deposit taken to hold the slots comes off the final invoice as a fixed-amount discount, leaving the balance due. Your tech and shop license numbers, the booking date and time, and your deposit policy belong in the notes, since the form has no box for them.

What does a birthday party of six bill out at?

A Saturday morning group booking, priced per guest rather than per appointment. The base manicure is one line with six in the quantity column, and because only four guests upgraded to gel, that upgrade is its own line with its own count — nobody pays for something she did not have. Art is billed per painted nail across the whole party, two guests moved up to the deluxe pedicure, and holding the room for three hours is a single flat line.

There is no tax line because North Carolina does not tax cosmetic art services — leave the rate blank where you are too, and counting guests in the quantity column means a late cancellation is one number to change.

Keep the invoice as legible as the menu board

  • Menu wording, menu price

Write gel manicure or two-week fill rather than nails, so the client can lay the invoice next to your price board and see the same words and the same numbers.

  • Add-ons on their own lines

Gel, French, extra length, chrome and art belong on separate lines from the base service, which keeps your posted price honest and shows exactly what the upgrades cost.

  • Art priced per nail

Put the number of painted nails in the quantity column with your per-nail rate beside it, so a two-nail accent and a full set of art are priced by the same visible rule.

  • Removals and repairs

Soaking off another salon's set is real chair time, so charge it as a line, and state your free-repair window in the notes so a fix on day six is not a surprise.

  • License numbers and deposits

There is no field for your tech or shop license, the booking time or your deposit policy — put all of them in the notes, and subtract a paid deposit with the fixed-amount discount.

Frequently asked questions

How do I charge for nail art?

Price it per nail — the number of nails goes in the quantity column and your per-nail rate in the rate column — or add one flat design line for a full set. Either way, keep it off the base service line so your menu price stays intact.

How do I invoice a party of six?

Put the guest count in the quantity column against the per-guest rate, then add separate lines for the upgrades only some guests chose. If you took a deposit to hold the slots, subtract it with the single fixed-amount discount so the invoice shows the balance due.

Can each guest pay for her own services?

Each invoice is a separate PDF and no money changes hands here, so either bill the host for the whole booking or make one invoice per guest. Send invoice passes the finished PDF to your share sheet or opens a pre-filled email draft for you to send; the draft autosaves in your browser, so a second invoice is just a new client name and number.

Do I charge sales tax on nail services?

It depends where you work. North Carolina, used in the example below, does not tax cosmetic art services, so the manicure and pedicure lines carry no tax at all — though retail polish or oil you sell is taxable, and other states do tax the service itself. The form applies one rate to the whole subtotal after any discount, so confirm your state's treatment with an accountant before entering a rate.
