Springs, openers and the service call

Start with the trip. The service call or dispatch fee goes on at quantity 1 with your call-out rate, before any part is touched, so the customer can see what the visit cost on its own. Then bill the work: a flat price for the changeover if that's what you quoted on the phone, or hours in the quantity column at your shop rate, since decimals like 1.5 are accepted. Every part gets its own line — springs, rollers, cables, bottom brackets, hinges, a section, an opener — with the count in the quantity column and the spec written into the description. Decide once whether your part prices include fitting or whether a separate labor line covers it, then keep that wording identical on every line, because a part marked "supplied and fitted" sitting above a labor charge reads as the same work billed twice. Torsion springs are the line customers query most, so put the cycle rating and size in the text and use quantity 2 when you replaced a matched pair.

There's no field for the equipment you worked on, so the notes carry it: door make, model, size and serial, the opener model, and what you actually did. Warranty belongs there too, split the way you really offer it — your own term on labor, a separate term on springs and rollers, and the manufacturer's term on an opener you supplied. If your state licenses garage door or contractor work, put the license number on a line under your business name in the address block so it prints on every PDF, and note the service address whenever the door isn't at the billing address.

The tax line is preset to Sales Tax in USD. How your state treats this work varies — parts are usually taxable, while installation labor is sometimes exempt or treated as a capital improvement on a new door — so set the rate your accountant confirms, or clear it. One rate applies to the whole subtotal after the discount, so if only the parts are taxable, say so in the notes. Your business details, logo and rate autosave in the browser, so the next call is a matter of swapping the customer, the parts and the invoice number.

A broken spring on a Tuesday morning

A homeowner calls with a door that won't lift and a car trapped behind it, and the tech goes out the same day. The visit bills as a service call at quantity 1, separate from everything that follows. Both torsion springs go on as a matched pair because the surviving one has the same cycle count as the one that snapped, the nylon rollers are priced per roller across both tracks, and the bottom bracket that took the load when the cable let go gets its own line. Every part line here is a supplied price only — the fitting is the single flat labor charge at the end, quoted that way on the phone the way spring work usually is, so nothing on this invoice is fitted twice on paper.

Quantity 2 on the spring line is the record that matters two years from now: it shows the homeowner bought a matched pair with a stated cycle life, not a second spring nobody could later prove they needed.

Springs, cycles and warranty — get these on the paperwork

  • The trip, then the work

Put the service call on its own quantity-1 line ahead of the parts, so the customer sees what turning up cost separately from the repair. If you credit it against an approved job, use the discount field or explain the waiver in the notes.

  • Springs by the pair, with the rating

Write the cycle rating and wire size into the spring description and put 2 in the quantity column, so the invoice records that the customer bought a matched pair rated for a known life.

  • Parts supplied, or parts fitted — pick one

If labor has its own line, keep the part lines as supplied prices; if your part prices include fitting, drop the labor line. A description reading "supplied and fitted" above a separate labor charge is the fastest way to look like you charged twice.

  • Door and opener identified in the notes

There's no equipment field, so record the door make, model, size and serial plus the opener model in the notes — that's what any warranty claim later will be measured against.

  • Warranty, license and service address

State your labor term and the separate terms on springs, rollers and a supplied opener, put your contractor or garage door license under your business name in the address block, and note the service address whenever the door isn't at the billing address.

Frequently asked questions

Why are garage door springs invoiced as a pair?

On a two-spring torsion system the surviving spring is the same age and cycle count as the one that snapped, so replacing both together is standard practice. Put 2 in the quantity column at your per-spring price, or 1 at a pair price, and write the cycle rating into the description so the customer can see what they bought.

Where do I record the door and opener model numbers?

In the notes field — there's no dedicated equipment field. List the door make, model, size and serial plus the opener model, and the invoice doubles as the service record a warranty claim two years later will be checked against.

How do I show the service call fee if I waive it on approval?

Bill it as its own quantity-1 line, then either apply the single discount off the subtotal or state the waiver in the notes — for example that the dispatch fee was credited against the completed repair. A fee that is charged and then visibly credited reads as a concession you made; a fee that never appears at all reads as one you never charged.

Do I charge sales tax on garage door work?

It depends on your state: parts are generally taxable, while installation labor may be exempt or treated differently on new construction than on a repair. The tool applies one rate to the whole subtotal after any discount, so note any split in the notes field and confirm the treatment with an accountant.
