Session, finished minutes, usage — three different charges
Voice work is priced in at least three ways, and a clear invoice keeps them apart. A finished-minute rate bills the runtime you deliver, so 18.5 goes in the quantity column against your per-minute rate. A session rate bills the time the client books, so studio or directed hours go in that column instead — decimals and all. Flat per-script or per-spot fees sit at quantity 1 with the fee in the rate column. Whichever you agreed, name the unit in the description, because the quantity column on its own cannot tell a client whether 2 means hours or minutes.
The usage license is a separate charge from the recording and belongs on its own line: you are billing what the client may do with the audio, not the hours it took to capture. Keep the description short and factual — "Usage license — 12 months, US and Canada, internal e-learning" — then write the full terms into the notes, because the form has no rights field. Term, territory, media, what is excluded (broadcast, paid social, synthetic-voice training), and the price of a renewal all belong there, so a client who extends the campaign already knows the number.
Pickups are the line most often forgotten. Retakes caused by a script change, a fresh direction, or a product name approved after you recorded are billable — add a pickup line with your minimum, usually a half hour or a fixed fee — while retakes fixing your own fluffs are not. Cancellation terms have no field either, so put them in the notes alongside your payment details. The whole draft is saved in your browser, so the next booking for the same client starts from this one: change the number, the dates and the lines, and leave the license wording you already got right where it is.
Priced per finished minute, licensed by the year
Four e-learning modules for a corporate client, delivered as finished audio. The read itself is billed on the runtime of the delivered master rather than the hours in the booth, the clean-up and mastering pass is billed against that same runtime at a lower rate, and the session the client dialed into is billed by the hour because their time, not the script, set its length. Minutes, hours and a flat fee all share one quantity column, so each description says which unit it is counting — otherwise 18.5 and 2 look like the same kind of number.
Five things a voice over invoice should settle
Name the unit you are counting
Write "per finished minute" or "per hour, directed session" into the description, because 18.5 in the quantity column means nothing on its own.

The session fee pays for the audio existing; the license pays for the client using it, so put them on separate lines and price them independently.

Should I bill per finished minute or per session hour?
Bill whichever you quoted, and put the unit in the line description so it reads unambiguously. Finished minutes go in the quantity column against a per-minute rate; a directed or attended session goes in as hours, decimals included, against your hourly rate.
How do I invoice a usage license or a buyout?
Give it its own line — "Usage license — 12 months, US and Canada, non-broadcast" — priced as a flat fee at quantity 1. There is no rights field on the form, so spell out the term, territory, media and exclusions in the notes, along with what a renewal or an upgrade to broadcast would cost.
Do I charge for a pickup session?
Pickups caused by changes on the client's side are normally billable, with a half-hour or fixed minimum on their own line; retakes correcting your own performance usually are not. Conventions differ between corporate, e-learning and broadcast work, so put your pickup policy in the notes rather than assuming the client shares it.
What if a booked session is cancelled at short notice?
Add a line such as "Late cancellation — session held 14 July" at the percentage of the session fee your terms specify. State the cancellation window in the notes field so the charge points back to something the client agreed to.
