Area, tonnage and lump sums on one invoice
Paving is priced in more than one unit, and a single invoice usually carries all of them. Put the area in the quantity column and your rate beside it for anything measured on the ground — an overlay at a price per square foot, crack sealing at a price per linear foot — and use the same two columns for tonnage when you bill mix delivered and placed. Quantities take decimals, so 18.5 tons or 2450.5 square feet enter cleanly. A residential driveway is often simpler as one flat price at quantity 1. Whichever basis you use, name the unit inside the description — 'per sq ft', 'per ton', 'lump sum' — because the form has a single quantity column and no separate unit field.
Break the work into the stages you actually performed instead of one line reading 'paving'. Demolition and haul-off, grade and compact, aggregate base, geotextile fabric, tack coat, binder course, surface course, and any drainage or valley correction each deserve their own line, and a concrete apron, pad or curb belongs on its own line at its own rate rather than buried inside an asphalt price. That itemization is what lets a property manager compare your bill against the bid, and it is what protects you when the subgrade turned out worse than anyone expected. Maintenance work — sealcoating, crack fill, pothole repair, striping — belongs on separate lines too, so a client who wants only the seal this year can read the number without asking for a fresh quote.
The Sales Tax line applies one rate to the subtotal after any discount, which covers most paving invoices, but whether the job is taxable at all varies a great deal. Several states treat new paving as an improvement to real property, where the contractor pays tax on materials rather than charging it on the job. Several also separate repairing or restoring a surface from scheduled, periodic maintenance of one that is not broken, and tax only the first — Texas is the clearest example, where resurfacing a commercial parking lot is a taxable non-residential repair while documented scheduled maintenance is treated differently. Rules vary — check with an accountant, and leave the rate empty when you do not collect. There are no fields for a contractor license number, a PO, or the mix specification, so put them in the notes: license or registration number where your state issues one, PO or work-order reference, compacted thickness, mix design, and how long the surface needs before traffic returns.
