Billing a retainer month that also had project work
A retainer invoice has to say which month it covers, because the issue date does not. Name the period in the line description — "SEO retainer — July 2026" — and spell out what the retainer bought: the hours included, the technical work, the monthly report. Enter it at quantity 1 with the monthly price as the rate. If you price the retainer in hours rather than as a flat fee, put the hours worked in the quantity column, which accepts decimals, and your rate alongside. The same column handles a mid-cycle start: 0.5 against the monthly fee for a half month, with the actual dates in the description.
Anything that is not the retainer belongs on its own line. A technical audit is a one-off fixed fee, content is billed per piece with the number published in the quantity column, digital PR goes in per live placement, and a migration or Core Web Vitals sprint is a separate project fee. Splitting them out matters when a client lines up three invoices side by side — the recurring cost stays constant and the project work is visibly project work rather than a retainer that quietly went up.
Tools you carry on the client's behalf — a crawler, a rank tracker, a content optimization seat — go on their own line at cost with the tool and the month named. If the seat is shared across clients, bill an agreed share and say so in the notes rather than passing through the whole subscription. The notes are where the terms live: hours included, whether unused hours roll over, the notice period, the day the report lands, and a line making clear that rankings and traffic are not guaranteed. On tax, one rate applies to the whole subtotal after any discount, so a recharged tool is taxed exactly like your fee — whether SEO work is taxable where you are, and whether a recharge is treated differently, is a question for an accountant.
A first invoice, with the audit up front and the retainer prorated
The engagement started on the 17th, so the retainer is billed as half a month — 0.5 in the quantity column against the agreed monthly fee, with the dates spelled out in the description so nobody reads it as a discount. The technical audit that opened the engagement leads the invoice as a one-off fixed line, because it was signed off separately and will not appear again. Content is billed per published article with the count in the quantity column, and the keyword and competitor research behind the roadmap was quoted as its own fixed deliverable.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Technical SEO audit — 4,200-URL crawl, findings deck and prioritized fix backlog (one-off) | 1 | $1,850.00 | $1,850.00 |
| SEO retainer — 17–31 July 2026, half month at the agreed monthly fee | 0.5 | $2,400.00 | $1,200.00 |
| Blog articles researched, written and published — 1,400+ words each | 4 | $320.00 | $1,280.00 |
| Keyword and competitor research mapped to a six-month roadmap (one-off) | 1 | $900.00 | $900.00 |
| Subtotal | $5,230.00 | ||
| Total due | $5,230.00 | ||
Both one-off lines are labelled as one-offs and the retainer line carries its own dates, so when the next invoice arrives with a full month and none of the setup work, nobody has to ask why the shape of it changed.
Bill the retainer so it survives the quarterly review
Name the period on the retainer line
There is no billing-period field, so "SEO retainer — July 2026" belongs in the description, with the exact dates instead if you are billing a part month; without it, three invoices in a row look identical to whoever is approving them.
Never let a one-off hide in the retainer
An audit, a migration, a Core Web Vitals sprint — each goes in as its own fixed-fee line labelled one-off, so a month with extra work does not read as a retainer increase.
Deliverables go in the quantity column
Four articles at a per-article rate, two placements at a per-placement rate, or a part month at 0.5 — the quantity column takes decimals and does the multiplication for you.
Recharge tools at cost and name them
State the tool and the period on its own line, and if the seat is split across clients, bill the agreed share and say so in the notes rather than passing on the full subscription.
Scope and expectations in the notes
Hours included, rollover policy, notice period, the report date, and a plain statement that rankings and traffic are not guaranteed — the notes field is the only place any of that can go.

Frequently asked questions
How do I show which month the retainer covers?
Put the month in the line description, because there is no billing-period field — the issue and due dates describe the invoice, not the work. Repeating the period in the notes helps when a client settles several months at once.
Should content and links sit inside the retainer or be billed per unit?
Bill per unit whenever the volume moves month to month: four articles in the quantity column at your per-article rate is far easier to defend than a larger, vaguer retainer. Keep strategy, technical work and reporting time in the retainer line.
Can I recharge tool subscriptions to a client?
Yes — give the tool its own line at what you paid, with the month named. If one seat covers several clients, bill an agreed share and state that in the notes; whether you may add a markup is a matter for your contract.
The engagement started mid-month — how do I bill a part month?
Put 0.5 in the quantity column against your monthly fee and name the real dates in the description, such as "17–31 July 2026, half month". The column takes any decimal, so if your contract prorates by day rather than by half, 0.45 or 0.67 works exactly the same way and does the multiplication for you.
