Invoicing a DJ gig

List the base performance fee as its own line — say four hours of a wedding reception set at a flat rate — then put any overtime on a separate line with the extra hours in the quantity column and your per-hour overtime rate beside it. Give each add-on its own line too: an extra pair of speakers, uplighting or a dance-floor wash, MC and hosting duties, and travel or mileage to an out-of-town venue. Itemising this way lets the couple or event planner see exactly what the DJ fee covers and what the extras cost.

Most DJs take a deposit to hold the date and collect the balance before or on the event day. Record the deposit amount and the balance-due date in the notes field so the terms are unambiguous. If you'd rather the invoice show only what's still owed, enter the deposit as a fixed-amount discount on the subtotal — just remember the single tax line, if you charge one, is calculated after that discount.

Use the notes field for the details that make a DJ invoice specific: the event date, the venue name, and your load-in and performance start/end times. Number each invoice in sequence (DJ-001, DJ-002…), set a due date, and add your logo so it matches your booking emails. Your draft autosaves in the browser, so when the next booking comes in you can reopen it, swap the client and event details, and download a fresh PDF.

A company holiday party that ran an hour long

A staff holiday party for 400 guests in a hotel ballroom, booked as a four-hour set with an awards segment in the middle. The performance fee is one flat line tied to a stated window, and hosting the awards is priced separately because running a program is a different job from playing music. When the client kept the bar open past the contracted end time, that hour went on at the overtime rate rather than quietly inflating the base fee. Lighting and the presenters' handheld mics are equipment lines, so the AV side of the bill can be checked against what was actually set up.

Naming the contracted window in the base-fee line is what makes the overtime line easy to agree to, because the client can see exactly when the extra hour started.

Does the invoice match what was booked?

  • Base fee and set length

Write the contracted hours into the line description — "Wedding reception DJ, 6–10pm, 4-hour base fee" — so the flat rate is tied to a defined performance window rather than an open-ended booking.

  • Overtime on its own line

Bill extra time separately with the hours in the quantity column and your overtime rate beside it; decimals are accepted, so 1.5 hours past the contracted end time totals correctly.

  • Add-ons priced per unit

Uplighting, extra speakers, wireless mics for the ceremony, and MC or hosting duties each get a line, with per-fixture and per-unit items taking the count in the quantity column.

  • Retainer and balance terms

State in the notes what retainer held the date and when the balance falls due, and if you want the total to read as the balance owing, subtract the retainer with the single fixed-amount discount.

  • Venue and load-in details

There is no booking field, so put the event date, venue name, load-in time, and set start and end times in the notes — that is what the client checks first.

Frequently asked questions

How do I charge for overtime on a DJ invoice?

Add overtime as its own line — put the extra hours in the quantity column and your per-hour overtime rate in the rate column. Decimals are supported, so 1.5 hours past midnight works, and the line and invoice totals update automatically.

How do I show a deposit that's already been paid?

The simplest way is to note the deposit and the remaining balance in the notes field. If you want the total to reflect only the balance, subtract the deposit as a fixed-amount discount on the subtotal — bear in mind any tax line is calculated after the discount.

Where do I put the event date, venue, and set times?

There's no dedicated field for them, so add them to the notes — the event date, venue, and your start and end times then sit clearly under the line items on the PDF.

Do DJs need to charge tax on a booking?

It depends on where you work and whether you're registered for sales tax, VAT, or GST. If you are, set the rate and label on the single tax line; if not, leave it empty. Rules vary, so check with an accountant.
